At Organized Chaos Volleyball Inc., player and official safety is our top priority. Due to the unique challenges of outdoor play—especially in high heat or wet conditions—we’ve implemented the following safety standards and expectations for all participants. In the event that games or sessions are cancelled, we will reschedule on either the same regular-scheduled day of the week or on a Saturday. Our goal is to keep the same number of games without extending the season into September; however, that may be the only option.
To reduce the risk of heat-related illness:
Take frequent breaks in shaded areas whenever possible.
Apply SPF 30+ sunscreen before play and reapply every 2 hours.
Check the UV Index and Air Quality before arriving and assess whether it’s safe for you or your child to participate.
Follow our Heat Policy: Matches may be adjusted, shortened, or canceled when temperatures approach 38°C or higher.
Hydration is mandatory—bring plenty of water and take regular water breaks.
Shade - there are some trees near the courts, please find shade to cool off if you are feeling overheated.
Temperature | Risk Level | Required Actions |
---|---|---|
30–34°C | Moderate Risk | Hydrate, offer shade, encourage rest |
35–37°C | High Risk | Water breaks every 15 mins, limit warm-ups (+moderate risk actions) |
38–40°C | Very High Risk | Shorten matches, allow official breaks, mandatory cooling periods (+High Risk actions) |
Over 40°C | Extreme Risk | Suspend or cancel all matches |
Note: For daytime sessions (Sat/Sun), these thresholds are adjusted to account for hotter sand temperatures.
Suspend play immediately at the first sign of thunder or lightning.
Seek shelter inside ODSS, Tony Rose Arena, or your personal vehicle.
Matches interrupted before the second game completion will be rescheduled.
Maintaining safe playing conditions on sand courts is critical. Wet or compacted sand creates serious risks of slipping, falling, and injury.
Wet Sand Conditions:
Caused by heavy rain or poor drainage
May create puddles, slippery surfaces, and uneven footing
Hard/Compacted Sand:
Results from repeated play or moisture retention
Reduces shock absorption and increases risk of joint or impact injuries
Recent or ongoing rainfall
Low-lying court areas
Early morning sessions before drying
All courts must be inspected before play for unsafe conditions.
Organized Chaos Volleyball Inc may postpone or cancel play if courts are too wet or too hard.
Delayed start times when necessary to allow drying or raking to occur.
Players must report hazardous spots immediately, so it can be fixed or have the game delayed
Referees or players must notify Shona for maintenance or cancellations.
By following these guidelines, we can keep our community safe, active, and thriving—even under the sun.
If you have questions or notice unsafe conditions, please contact us immediately.
